General Agriculture Information

Purpose

Create a single point of truth for quality checks, grading, and digital passport generation — right at the co-op. This station guarantees that only QC-verified lots enter the AgriChainPH system and webstore.

Process Flow

1. Farmer Delivery
• Receive harvest → assign Lot ID → weigh & record.

2. Sampling
• Take representative sample per lot

3. Moisture Test
• Record moisture % in ERP.
• If above limit → reject or set aside for drying.

4. Defect Count
• Count defects, determine grade (A/B/C).

5. Photo Capture
• Take picture of lot for digital passport.

6. ERP Entry
• Input data → system generates QC Result record.
• Digital Passport (PDF + QR) printed or saved.

7. Approval
• Approved lots tagged and moved to storage.
• ERP marks lot as “Available for Sale.”

Digital Integration

Auto-QC Logging: Moisture meter can send readings to ERP (via
CSV/API).
• Digital Passport: Automatically generated with:
• Lot ID, Farmer Name, Crop, QC data, Date, Co-op.
• QR code linking to online passport page.
• Webstore Sync: Once approved, lot appears online instantly.

People & Roles

RoleResponsibility
QC OfficerPerforms moisture test; defect count; assigns grade
Data EncoderInputs QC results; generates digital passport
Co-op ManagerApproves/rejects lots; monitors compliance
Warehouse StaffMoves approved lots to storage

KPIs for QC Station

• ✅ % of lots QC-graded within 24 hours of delivery
• ✅ % of lots rejected for moisture/defects (monitor trends)
• ✅ Average moisture % at acceptance
• ✅ Number of disputes (should go down over time)

Blueprint Benefits

• Trust: Buyers see independent QC validation.
• Traceability: Every lot is linked to farmer + QC results.
• Speed: Instant passport generation → ready for sale same day.
• Data: Co-op managers see trends (who delivers high/low quality).

CHECK LIST PRIOR SUPPLY CHAIN SUPPLY CONTACT

Create a single point of truth for quality checks, grading, and digital passport generation — right at the co-op. This station guarantees that only QC-verified lots enter the AgriChainPH system and webstore.

Physical Layout

📑 1. Product & Quality Profile
• Product specification – exact commodity (e.g., white corn, dressed chicken, pork cut type)
• Quality standards – grading, moisture content, size, shelf-life, handling requirements
• Testing/inspection protocol – who does quality checks, when, and how disputes are resolved

⏱️ 2. Delivery & Logistics
• Delivery schedule – recurring (weekly, monthly) or on-demand replenishment
• Delivery window – acceptable day/time and penalties for late delivery
• Delivery terms – Incoterms or PH equivalent (e.g., delivered at buyer warehouse vs pick-up at
farm)
• Transport responsibility – co-op truck vs buyer truck (or AgriHaul-type digital dispatch)

💲 3. Pricing & Payment Terms
• Contract price – fixed, floating, or indexed (e.g., based on market price at delivery date)
• Payment terms – COD, 30-day credit, bank transfer, e-wallet, escrow
• Discounts/Rebates – for volume commitments, early payment, or quality incentives
• Price review clause – when and how price can be renegotiated

📦 4. Order & Inventory Protocol
• Minimum Order Quantity (MOQ) – to make deliveries efficient
• Lead time – how many days between PO trigger and actual delivery
• Safety stock levels – agreed buffer to avoid stockouts
• Backorder policy – what happens if co-op cannot fully deliver

📜 5. Contract & Compliance Terms
• Duration of agreement – fixed term (e.g., 6 months, 1 year)
• Termination clause – when either party can exit the contract
• Force majeure – how to handle calamities, typhoons, crop failure
• Regulatory compliance – food safety (DA-BFAR, BAI, FDA), traceability, certifications

🧾 6. Data & Communication
• EDI/SCM data format – what data is exchanged (PO, ASN, GRN, Invoice)
• Real-time updates – how both parties see stock levels, delivery status
• Performance dashboard – KPI tracking (OTIF = On Time, In Full, Rejection Rate, etc.)

🛡️ 7. Risk & Liability
• Product liability – who covers spoilage/damage in transit
• Insurance coverage – crop, transport, warehouse insurance
• Dispute resolution – arbitration or mediation process

This checklist becomes the foundation for your digital onboarding process. Once these are captured
in ERP + SCM Gateway:
• PO → Delivery → Invoice → Payment → Performance reporting can all flow automatically.
• Everyone sees the same data, no arguments.
• Contracts can even be “smart contracts” in the future (auto-trigger penalties/rewards).

This project is aligned with DTI and RAPID Growth’s objectives:

Alignment with RAPID Growth Goals

1. Value Chain Modernization
• Your dual-path strategy (Webstore for spot transactions + SCM-based supply-contracts)
directly answers RAPID Growth’s call to strengthen value chains and improve market
access for co-ops.
• The focus on connecting co-ops digitally reduces dependency on middlemen and
maximizes farmer profits — a key pain point RAPID Growth is trying to solve.

2. Digital Transformation of Co-ops
• By onboarding co-ops into a modern ERP + e-commerce system, you’re not just giving
them tools — you’re changing how they work (from paper/Excel to live inventory, demand
planning, and traceability).
• This is exactly the kind of intervention DTI loves — scalable, measurable, and with a clear
“before/after” transformation story.

3. Market Linkage & Inclusivity
• Your platform is not just a digital showcase but a transactional hub.
• It integrates banks, payment systems, insurance, and logistics — creating a complete
ecosystem, not just a directory.
📊 Strength: Measurable Impact
Your approach allows DTI to measure real outcomes:
• % of transactions moved from manual to digital
• Reduction of farm-to-market transaction cost
• Increase in farmer net income
• Co-ops adopting ERP & analytics
🧭 Strategic Advantage
• You’re ahead of typical bidders who may only offer a webstore or basic marketplace.
• By combining ERP + SCM + GIS + e-commerce + analytics, you’ve created a “farm-to-
market operating system” — exactly the kind of flagship pilot project RAPID Growth wants to showcase.
